Send your agreements to Common Paper via email

Agreements are often passed around via email, whether during negotiation or as part of a signing process. To make it easier to bring these agreements into Common Paper and avoid having to download attachments, save them to your computer and then upload them back into Common Paper, our Email Ingestion process makes it quick and easy to get these files into the system.

Finding your Ingestion Email Address

Each organization in Common Paper is issued a unique email address that it's users can use to forward agreements into their account.

The quickest way to find your automatically generated email is from the Import screen, which you can reach under the Create or import an agreement dropdown on the main agreements list.

The email address is listed below the upload a file box.

NOTE: This email address can only be used by any user within your Common Paper account.

Sending Agreements to Common Paper

To send agreements into your Common Paper account, simply forward agreements directly to the ingestion email address or bcc the address on emails that you send internally or to recipients.

There are a few requirements that are needed for ingestion:

  • The email must contain at least one attachment

  • The ingestion only works with PDF and DOCX files

  • The sender of the email must have an account in Common Paper (matching on email address)

  • The ingestion email address must match the Common Paper organization that the sender email address is associated with

If the import is successful (or if any of these failures occur), Common Paper will send an email response to the sender with the results.

Working with Ingested Files

Once an agreement is successfully ingested, the file moves into a holding tank for you to process. When you have agreements imported and awaiting your attention, a new section will appear on your lefthand navigation - Ready to Import.

This link will bring you to the Manage imported agreements screen. This page lists any agreements that you sent to Common Paper via email, or agreements that you've uploaded but didn't complete the next steps of directing them where to go.

For each agreement, you have two options:

  • Provide details will allow you to use the agreement in a few different ways - completing an agreement, collecting signatures, storing an in-progress version on an existing agreement, etc.

  • The 3 dot menu gives you the option to Remove the file in case you imported the wrong file, it no longer is relevant, etc.
